1. Who we are
Copper Run Records, LLC (“Copper Run,” “we,” “us,” “our”) is an independent record label and music publisher organized in the State of Tennessee.

2. What this Policy covers
This Policy covers personal data we collect through:
- Our website at copperrunrecords.com and its subdomains, including the apex roster, artist pages, news posts, partners page, and any informational sub-pages.
- Our online store, where you purchase records, apparel, accessories, and other merchandise.
- Forms on the site — demo submissions, contact forms, newsletter sign-ups, and similar.
- Data we receive about fans of our recording artists when those artists connect their own marketing tools (Klaviyo, social-media accounts, mailing lists, e-commerce integrations) to our internal label dashboard so we can help coordinate releases, marketing, and royalty accounting on their behalf.
It does not cover the privacy practices of our recording artists’ own websites, social-media profiles, streaming platforms, ticketing platforms, or third-party stores operated under their personal accounts. Those services have their own privacy notices.
3. Personal information we collect
3.1 Information you give us directly
- Order information. When you buy from our store: name, shipping address, email, phone (optional), order contents, and the last four digits of the payment method retained by our payment processor. We do not store full payment-card numbers; that data is handled by Stripe (see Section 5).
- Demo submissions. When you submit a demo via our site: name, email, phone (optional), social-media handles, role(s) (artist, songwriter, producer, etc.), the person who referred you, and any music links or files you attach.
- Contact and partnership inquiries. Whatever you include in the message you send us.
- Newsletter sign-ups. Email address, and (if you opt in to text updates) mobile number and SMS-marketing consent. Newsletter and SMS programs are operated through Klaviyo on our behalf.
3.2 Information we collect automatically
- Device and usage data. IP address, browser type and version, device type, operating system, referring URL, the pages you visit on our site, and approximate location derived from IP. We use this for security, basic analytics, and to fix bugs.
- Cookies and similar technologies. Strictly necessary cookies that keep your shopping cart and login session working, plus a small set of first-party analytics cookies. We do not use third-party advertising cookies.
3.3 Information we receive from artists’ connected accounts
Recording artists signed to the label can connect their own marketing and commerce accounts (e.g. Klaviyo, Mailchimp, Instagram, TikTok, YouTube, Spotify for Artists, Shopify) to our label dashboard. When an artist does so, we may receive fan-level data those services hold — for example: email addresses, mobile numbers, purchase history, engagement events (opens, clicks, RSVPs), follower counts, and basic profile information.
We use this information solely to help operate the label relationship with that artist — coordinating releases, planning marketing campaigns, accounting for royalties, and reporting results back to the artist. We do not combine one artist’s fan data with another artist’s, sell it, or use it to market to fans on behalf of unrelated parties.
4. How we use your information
- Fulfill orders and provide services. Process purchases, fulfill and ship merchandise, handle returns or refunds, respond to your messages, and follow up on demo submissions.
- Marketing and communications. Send you newsletter emails and (with separate consent) SMS updates about Copper Run roster artists, new releases, tours, sales, and label news. You can unsubscribe at any time using the link in every email or by replying STOP to any text.
- Operate the label. Coordinate marketing, tour planning, royalty calculations, and reporting for our recording and publishing artists, including data we receive from their connected third-party accounts.
- Site operations and security. Detect, investigate, and prevent fraud, abuse, and security incidents; maintain backups and disaster-recovery copies.
- Legal and accounting. Comply with tax, accounting, and other legal obligations, and resolve disputes.
5. Who we share information with
We share personal information only with service providers that help us run the business, with our recording artists for data directly relating to them, and as required by law. We do not sell your personal information.
- Stripe — processes payments. Your card details go directly to Stripe; Copper Run never sees them.
- Printful — prints and ships our merchandise. We share the recipient name, shipping address, contact email, and order contents.
- Resend — delivers transactional email (order confirmations, shipping notices, demo replies).
- Klaviyo — operates our newsletter and SMS marketing programs. Stores your email/phone and engagement history.
- Supabase — hosts our database and file storage in the United States.
- Vercel — hosts the website itself.
- Our recording and publishing artists — we share back to a given artist the data that relates directly to that artist (their fans’ engagement, their merch sales, their royalty splits, etc.) so they can review their own performance.
- Professional advisors — accountants, auditors, lawyers — bound by confidentiality.
- Authorities and others — when required by law, valid legal process, or to protect rights, safety, or property.
- In a business transition — if Copper Run is merged, acquired, or sells substantially all assets, your information may transfer to the successor entity, subject to this Policy.
6. How long we keep information
We keep personal data for as long as we have a legitimate business need:
- Order and tax records: at least 7 years to satisfy U.S. tax and accounting obligations.
- Demo submissions: kept while the relationship is being considered, then either signed-artist-related (kept under the artist relationship) or deleted within a reasonable time.
- Newsletter / SMS lists: until you unsubscribe, after which we retain a suppression record so we don’t accidentally re-contact you.
- Site logs: typically 90 days, longer if needed to investigate a security incident.
7. Your rights
Depending on where you live, you may have rights to:
- Access a copy of the personal data we hold about you.
- Correct information that’s inaccurate.
- Delete your information, subject to exceptions for legal record-keeping.
- Opt out of marketing communications at any time. Use the unsubscribe link in any email or reply STOP to any SMS.
- Limit or object to certain uses (e.g. to object to legitimate-interest processing).
To exercise any of these, email support@crrteam.com. We’ll respond within 30 days. We may ask for information to verify your identity before fulfilling a request, and we will not discriminate against you for exercising a right.
California residents have additional rights under the CCPA and CPRA, including the right to know what personal information we collect, the right to delete, the right to correct, and the right to limit the use of sensitive personal information. We do not sell or share personal information for cross-context behavioral advertising.
8. Children
Our site and services are intended for people 18 and older. Anyone under 13 should not use the site or submit information. If you believe a child has provided us personal information, contact support@crrteam.com and we’ll delete it.
9. International users
Copper Run is based in the United States and our service providers operate primarily in the U.S. If you access the site from outside the U.S., you understand that your information will be transferred to and processed in the U.S., which may have data-protection rules different from your home country.
10. Security
We use administrative, technical, and physical safeguards designed to protect personal information — encryption in transit, role-based access controls, regular backups, and limited employee access on a need-to-know basis. No system is completely secure; if you have reason to believe an account or data may be compromised, contact us immediately.
11. Changes to this Policy
We may update this Policy from time to time. The “Last updated” date at the top reflects the most recent changes. If we make material changes, we’ll provide reasonable notice before they take effect — for example, an announcement on the homepage or an email to active customers.
